Enrollment Policy

New Enrollments

If you are enrolling for the first time please complete the enrolment form and select your preferred lesson time and day and we will get back to you within 24 hours to confirm your selection.
 

Term Re-Enrollment

Current participants enrolled in High Performance Tennis lessons are given priority for the next term. All participants are automatically re-enrolled for the following term – in the same class on the same day at the same time (unless advised before the start of the term). However, to confirm the enrollment, payment must be made by the due date. If you do not wish to continue lessons, please let us know as soon as possible.

PLEASE NOTE: If payment is not received by the due date, your place in the program may be lost.
 

Annual Re-Enrollment

Current participants are required to re-enroll each year so we can update your details. If you need to change days please contact the Director prior to re-enrolling.
 

Changing Programs

Should High Performance Tennis Coaches feel a participant would benefit from moving to a different level, they will be contacted to discuss the options. Ability is the main reason for group change rather than age.
 

Important Information

Once payment has been received your place will be confirmed in the program. Your selected spot is held for you, so if you require a change of day or time for the next term, please let High Performance Tennis know prior to the payment due date. If after you have made payment, you need to change days or times please contact High Performance Tennis (HPT) immediately. HPT will do whatever possible to try and accommodate your preferred options, however should all classes be full, then you must remain with the original day and time.

Payments And Refunds Policy

Full payment is required by the start of the new term. If the terms of the account exceed 7 days from the Invoice Payment Due Date, a $15 late payment fee will apply.

No refunds will be given for non-attendance at group or private lessons. A refund or credit may be offered if you have a valid medical reason which prevents you/your child from attending three or more classes in a row.

Method of Payment

Payments must be made by Direct Debit (details on the invoice)

Late Payments

If payment is not made on time or an arrangement made by contacting High Performance Tennis beforehand, your child may be removed from the Class List, and the Coach will not allow the child to take part in the lesson.

Privacy Policy

High Performance Tennis will only store information relevant for coaching and billing purposes and this is only accessible by the Director. Private information will never be shared with a third party or advertising agency.

Safeguarding Children Policy

High Performance Tennis has a zero tolerance approach to any form of child-abuse and is committed to ensuring the sport of tennis is a safe and friendly environment for children and young people. We are committed to providing a safe environment for all tennis participants, and to providing a safe environment for children and adults who participate in tennis activities at any High Performance Tennis venue. We are committed to using best practice standards in recruitment, screening and employment of all High Performance Tennis coaches. We strive to create an environment in which children are safe and feel safe. Child-safety is embedded in our company's culture, reflected in our policies and procedures, and understood and practised at all levels.

Supervision Of Juniors Policy

High Performance Tennis coaches are not responsible for supervising children outside of lesson time

Weather Policy

All notifications about cancellations due to rain/excessive heat for Hot Shots/Group lessons will be made on the High Performance Tennis Facebook page. Coaches will not be taking any phone calls/messages. If nothing is on the page then please always assume the lessons go ahead. We will endeavour to make a judgement call at an appropriate time prior to the lesson, but please understand this is subject to change as the weather can be unpredictable. Any group lesson that completes 30mins is deemed as completed.

Wash Outs/Excessive Heat

If lessons are cancelled due to rain/excessive heat a Clinic will be offered to catch up on missed lessons. There will be two Clinics offered each term, one in the middle of the term and one at the end of the term. Clinics run for 90 minutes in duration and cover up to 2 missed lessons. Enrolment to the Clinic is to be confirmed by registering with the Director.

*Private lesson cancellations will be made by the coach via text/call at an appropriate time prior to the lesson.

Cancellation Policy

Group Lessons: After booking in your child, written notice must be given of decisions not to continue in class. Term Fees are payable if notification not provided.

Private/Semi-Private Lessons: Cancellation must be given 24 Hours in advance of lesson to reschedule. If both participants in a semi-private lesson cancel with more than 24 hours notice the lesson will be made up at a time mutually agreed between the parties, however if one pupil is to miss, no make-up class will be offered as the session still goes ahead with the other pupil regardless.

All classes cancelled by High Performance Tennis will be made up at a time mutually agreed between the parties. Make up lessons will only be given if the participant is unable attend due to injury or illness (sufficient notice needs to be given), or the lesson is unable to go ahead due to extreme heat policy or wet weather policy.

Late Cancellation

All cancellations made by the participant, with less than 24 hours notice, will be charged as if the lesson took place. No make-up lessons will be given for late cancellations.

Missed Class Policy

Make up lessons are permitted under the following conditions only:

  • Absences must be communicated to High Performance Tennis 24 hours prior to the class time and the request must be made for a make up lesson.
  • Make up lessons are offered as a courtesy of High Performance Tennis and are subject to availability of an appropriate and equivalent program place.
  • A maximum of 1 make up lesson is permitted per term.
  • To participate in a make up class, participants must join a group with less than 4 other students.
  • Make up lessons are not transferable to other terms or participants.
  • NOTE - all make up lessons must be completed during the enrolled term and no credit will be available for not booking a make up lesson.
  • Make up lessons will be offered for lessons lost due to inclement weather/pandemic lockdown (Weather Policy)

Squads Policy

There are no make-up lessons offered for squads, unless for inclement weather (excessive heat or a washout).

Credit Policy

Lesson payments are non-refundable and non-transferable.

Parent/Guardian Policy

High Performance Tennis encourages all parents/guardians to remain off the court during their child’s lesson.  This allows the coach and student/s to focus entirely on the lesson, promote a child’s decision making skills and independence and importantly build the coach – student relationship.

Public Holidays And Long Weekends Policy

There will be no coaching offered on public holidays and any Sunday preceding a public holiday.

Injury Policy

High Performance Tennis will act according to their best judgment in any emergency requiring medical attention. I release High Performance Tennis from any and all liability for injury or illness and costs, incurred while undertaking a program or event.

Images and Video Policy

Photographs and Video may be taken and used in promotions by High Performance Tennis on social media, marketing material and on the website.
